This policy is written in plain language. It applies to the website at www.terrahillsdevelopments.ca (the "Site") and to the personal information Terrahills Developments Inc. ("Terrahills", "we", "us", "our") collects through it. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and, for visitors in Quebec, the Act respecting the protection of personal information in the private sector (Law 25).
1. Who is responsible for your information
Terrahills Developments Inc., 1632 Ramara Road 51, Ramara, Ontario L0K 1B0, is responsible for the personal information described here. Our designated privacy officer can be reached through the privacy request form at the end of this page, by phone at 365-688-9387, or by mail at the address above marked "Attention: Privacy Officer".
2. What we collect and why
Information you give us
When you use the quote form on our Contact page, we collect your first and last name, email address, and details about your project (type, location, approximate size, current stage, services needed and any description you add). Your phone number and company name are optional. We use this information for one purpose: to respond to your inquiry and prepare a proposal. If you later engage us, the information becomes part of the project record and is used to deliver the contract.
The form also records the time you agreed to this policy, so we can show that consent was given. We do not ask for, and ask you not to send, sensitive information such as government identification numbers or financial account details through the form.
Information collected automatically
Analytics (only with your consent). If you accept analytics in the cookie banner, Google Analytics 4 records the pages you view, how you arrived, your approximate location derived from your IP address, and your browser and device type. We use this to understand which pages are useful and to improve the Site. Nothing is collected and no analytics cookie is set until you accept. You can decline, or change your mind at any time, using the "Cookie Settings" link in the footer of every page.
Hosting and security logs. The Site is served by Cloudflare. Like any web host, Cloudflare processes your IP address and request details to deliver pages and to detect and block abusive traffic. These logs are used only for security and reliability.
We do not use advertising cookies, remarketing pixels, session recording, or fingerprinting, and we do not track you across other websites.
3. Consent and how to withdraw it
We rely on your consent. You give it by ticking the consent box on the quote form, and, for analytics, by choosing "Accept analytics" in the cookie banner. You can withdraw consent at any time: use "Cookie Settings" in the footer to turn analytics off, or contact our privacy officer to withdraw consent for the use of information you submitted. Withdrawing consent does not affect processing that already took place, and we may be unable to prepare a quote without the information the form asks for.
4. Who processes your information on our behalf
We do not sell, rent, or trade personal information, and we do not share it for anyone else's marketing. The following service providers process information for us, each limited to the purpose described:
- Web3Forms (form delivery): receives each quote-form submission and forwards it by email to our company inbox. Web3Forms retains submissions for a short period to deliver them and to filter spam.
- Google (Google Workspace / Gmail and Google Analytics): hosts the inbox where your inquiry arrives, and, only if you accept analytics, processes usage data as described in section 2. Google's practices are described in its own privacy policy.
- Cloudflare (hosting, content delivery, security): serves the Site and processes request logs as described in section 2.
- OpenStreetMap Foundation (map on the Contact page): the embedded map is loaded from OpenStreetMap's servers, which receive your IP address and browser details when the map displays. No other information is sent to them.
- Subcontractors, engineers and consultants engaged on your project: receive only the information needed to scope, price and deliver the work you have asked us to quote.
We may also disclose personal information where the law requires it, for example in response to a court order, or where necessary to protect our legal rights or the safety of any person.
5. Where your information is stored
Some of the providers above operate servers in the United States and other countries. Information stored there is subject to the laws of those countries, including lawful access by their authorities. We choose providers that commit contractually to protect personal information to a standard comparable to Canadian law. If you have questions about where a specific provider processes information, contact our privacy officer.
6. Cookies and similar technologies
The Site uses the following storage on your device. Nothing else is set.

To change your choice, use "Cookie Settings" in the footer of any page. You can also block or delete cookies in your browser settings; the Site works fully without analytics cookies.
7. How long we keep it
- Quote inquiries that do not lead to a project: deleted within 24 months of the last contact.
- Project and contract records: kept for seven years after the project closes, as required for tax, lien and warranty purposes under Ontario and federal law.
- Analytics data: retained by Google Analytics for 14 months, then aggregated so that it no longer identifies a visitor.
- Security logs: retained by Cloudflare for a short period as part of its standard service.
8. How we protect it
The Site is served only over HTTPS. Access to our inbox and project records is limited to staff who need it and protected by multi-factor authentication. Our providers are chosen for their security certifications and are bound by contract to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we will notify you and the appropriate privacy commissioner of any breach that creates a real risk of significant harm, as the law requires.
9. Your rights
You have the right to ask what personal information we hold about you, to receive a copy, to have it corrected, and to withdraw your consent to its use. Residents of Quebec also have the right to ask that their information be de-indexed or deleted, and to receive it in a structured, commonly used format. To exercise any of these rights, contact our privacy officer using the details in section 1. We will respond within 30 days, may need to verify your identity first, and will explain any legal reason we cannot fully comply.
If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.
10. Children
The Site is intended for property owners, developers and businesses. We do not knowingly collect personal information from anyone under 16. If you believe a minor has submitted information to us, contact our privacy officer and we will delete it.
11. Links to other websites
The Site links to other websites, including our social media pages and Google Maps. Those sites have their own privacy practices, which we do not control. Review their policies before providing any personal information.
12. Changes to this policy
When we change this policy we will post the new version here with a new "last updated" date. If a change materially affects how we use information you have already given us, we will ask for your consent again before relying on it.
